1. Who We Are
This Privacy Policy explains how Ray Rennie Automotive Ltd (“Sunny Nelson Car Hire”, “we”, “us”, “our”) collects, uses, discloses and protects your personal information when you use our website, book a vehicle, or otherwise interact with us. We are an “agency” as defined in the Privacy Act 2020.

2. Information We Collect
When you make a booking, we collect: full name, email address, mobile phone number, date of birth, driver’s licence number, pickup/return dates and locations, payment card details (handled by Stripe — we never see or store full card numbers), booking notes and any extras you add.
When you visit our website, we automatically collect: IP address and approximate location (city/region only), browser type, device type, pages viewed, time spent, referrer URL, and cookies.
We do not knowingly collect information from anyone under 21 years of age (the minimum hire age).
3. How We Use Your Information
We use your information to: accept and manage your booking, verify your identity at pickup, take payment and refund deposits, send booking confirmations and reminders, comply with legal obligations (e.g. responding to police requests for traffic infringements), improve our website and services, and send occasional marketing emails (you can opt out at any time).
4. Payment Processing (Stripe)
Payment is processed by Stripe Payments NZ Ltd. We do not see or store your full card number, CVV, or expiry. Stripe is PCI-DSS compliant and processes payment data under their Privacy Policy at stripe.com/privacy.
5. Cookies and Analytics
Our website uses cookies for essential functionality (booking session), preferences (selected pickup location), analytics via Google Analytics 4, and security via Cloudflare. We do not run advertising cookies, retargeting pixels, or social media tracking.
6. Who We Share Your Information With
We share your information only with: Stripe Payments NZ Ltd (payment processing), SiteGround Hosting (website hosting), Cloudflare Inc. (DNS, CDN, bot protection), Google LLC (Gmail, Calendar, Maps), NZ Police, Inland Revenue, or other authorities where required by law (e.g. traffic infringements during your hire), and our insurance company in the event of an accident or claim.
We do not sell your personal information to anyone.
7. How We Protect Your Information
We protect your information through HTTPS/TLS encryption in transit, encrypted database storage, WordPress 2FA on all admin accounts, regular security updates and managed backups, and limiting access to staff who need it. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner in accordance with the Privacy Act 2020.
8. Your Rights (Privacy Act 2020)
Under the Privacy Act 2020, you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your information (subject to our legal record-keeping obligations), opt out of marketing communications at any time, and lodge a complaint with the Office of the Privacy Commissioner: PO Box 10094, Wellington 6143 · 0800 803 909 · [email protected]
To exercise any of these rights, email our Privacy Officer at [email protected] with proof of identity. We will respond within 20 working days as required by the Privacy Act.
9. How Long We Keep Your Information
Booking records: 7 years (Inland Revenue and Companies Office requirements). Marketing email list: until you unsubscribe. Website analytics: 14 months (GA4 default). After the retention period expires, we securely delete or anonymise your information.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The version in force is always available at sunnynelsoncarhire.co.nz/privacy. We will notify customers with active bookings of any material changes by email.
11. Acceptance
By using our website or making a booking, you acknowledge that you have read and understood this Privacy Policy.
